Using a planner for the first time is like learning to ride a bike. It feels awkward at first, and you might fall off, but it gets easier the more you do it.
Soon it'll click, and your busy brain finally has somewhere to put everything.
If you’re just starting out, here are ten simple tips to help you find your balance.
Go-To Task List
Ever have 10 mins spare, and no idea what to do with it?
Keep a running list of small tasks on standby (like inbox clean-up or water refill). When you have a moment, tick off those little tasks that need doing but are easily forgotten. The mini checklists in the Signature, Essential & Classic are perfect for this.
Colour with purpose
Ever look at your planner and not know where to start?
Two-Colour Method: use one colour for urgent and one for non-urgent. You’ll be able to see your priorities instantly.
Highlight as you go: Highlight finished tasks to focus on what you did do, not what you didn’t.
Category colouring: Try assigning colour to life categories e.g Personal, Work, Kids etc, using the stickers in the Highlighter Planning Pack.
Not Today List
Too much on your plate?
Make a ‘Not Today’ list. It includes things that matter, but not right now. For example: Wash clothes today and fold washing another day. It keeps your focus tight and stops the guilt spiral. Remember not everything has to be done today, choose your priorities and be realistic.
Brain Dump First
Need to get it all out of your brain?
Before you open your weekly spread, empty everything out of your head first. Write down every task, thought, reminder, and worry with no order, no pressure. Once it’s all on paper, choose what actually fits into your week. This clears mental clutter so you’re not planning from overwhelm.
Bookmark the Basics
Can’t find what you’re looking for?
Mark your current week so you can jump straight to today without flipping. Bookmark your monthly pages to quickly check key dates and deadlines. Use a tab for notes so you always have a place to unload thoughts. Bonus Tip: Stick to 3–5 tabs so your planner is organised, not overwhelming.
PICK A TIME
Are you a morning planner or a night planner?
Set a reminder to plan at the same time each day so it becomes routine. Morning planners can map the day ahead, set priorities and check appointments. Night planners can prep tomorrow by brain dumping, then writing to-dos, and resetting their mind. Choose the time that fits your lifestyle, because consistency is what makes it work.
ZIP IT UP
Can’t find your charger again?
Assign different coloured Tech Pouches to your life categories. Fill each pouch with the essentials you usually reach for in that place and zip it up! For example, you could have yellow for your gym bag or sage for your car for items you always need in those spaces.
MONTHLY BINGO
It doesn’t have to just be a monthly spread…
Turn a monthly planner notepad or your monthly planner spread into a feel-good bingo card. Fill each square with one simple thing you can do this month. See how many you can tick off. There is no pressure to complete them all.
PLAN FOR CHANGE
Do you feel overwhelmed when plans change?
Start assuming change will happen during the week, and build flexibility into your initial plans. Leave one open block each day labelled “extra time” for sick kids, last-minute jobs or things that inevitably come up. Your plan works with your day, so you stay calm, on track, and in control.
SELF LOVE LIST
Do you ever take a minute for yourself?
You put so much love into others but let’s take a minute to love yourself. Use one of your mini checklists to write six things you love about yourself. What makes you, you?
Once you have your six things, read through each slowly and tick them off. You are all the things you wrote and more. For the days you forget your worth, let this list remind you who you really are.
